Key takeaway
The best use of AI in project management is not a chat window. It is taking the admin off the project manager: drafting the plan, chasing owners every morning and answering status questions from the live data, while the PM keeps every decision.
Most project managers do not lack ideas about how to run a project. They lack time, because a large part of the week goes on work that keeps the project visible rather than moving it forward: turning a kickoff deck into milestones, rewriting the same risk list in a new template, asking five people whether their task is done, and assembling the same status answer for three different audiences.
That work is exactly where AI is useful now. Not to replace the judgement of the person running the project, but to take away the typing, the chasing and the searching. This guide explains the three jobs AI can do for a PM, the limits you should keep in mind, and how the leading tools approach AI today.
Job one: let AI drive the plan
Starting a project from a blank page is slow. Most projects begin with something written: a statement of work, a proposal, a steering committee deck or a long email. A language model is good at reading that material and proposing a first structure.
In ClearPMO, a PM on a Premium project can describe the project in a few sentences, or upload a PDF, Excel or PowerPoint file, and get a draft of scope, out-of-scope items, milestones, risks and dependencies. Nothing is saved until the PM has reviewed and edited the draft. The same applies to voice dictation: speak an update and ClearPMO places it into the right fields for you to check.
- Good for: a first version of scope, milestones and the obvious risks, in minutes instead of an afternoon.
- Still needs a human: the real dates, the owners, and the risks nobody wrote down.
- Watch out for: a draft that sounds complete. Treat it as a starting point for your kickoff, not a finished plan.
Job two: let AI control your follow-ups
Following up is the part of the job that eats the most time and earns the least thanks. Every morning somebody needs to be reminded that their task is due today, or that it slipped past its date last week.
ClearPMO sends each task owner one daily email on Premium projects, listing only their own tasks that are due today or already overdue, grouped so the overdue work is at the top. One click opens their My work page, where they can mark a task done or move its date. The PM gets a daily activity summary on the dashboard and a weekly digest by email, written from what actually changed in the project.
The difference from a generic notification is that the reminder goes to the person who owns the work, not to the PM. The PM stops being the messenger.
Job three: let AI enable the PM
Once a project has real data in it, the most common questions are simple ones. What is overdue? Which risks are high and who owns them? What is due in the next two weeks? Where are we against budget? Answering them usually means clicking through five screens or exporting to a spreadsheet.
Robin, the AI agent in ClearPMO, answers those questions in plain language from the project or program data, and only from that data. If the answer is not in ClearPMO, Robin says so rather than inventing one. Robin is available to the project manager and the program manager on Premium, and appears in the Team list as an AI agent so everyone can see it is part of the project.
AI also helps with the fiddly structural work. On large plans, linking which tasks block which is tedious, so ClearPMO checks the task list in the background and suggests the tasks that most likely have to finish first, each with a one-line reason. The PM links the ones that make sense and ignores the rest.
What AI should not do in a project
AI is a poor owner. It cannot be accountable for a milestone, negotiate a date with a supplier or decide whether a risk is acceptable. Tools that let AI change the plan silently create a new problem: nobody knows which dates are real.
- Keep a human decision on every change to scope, dates and owners.
- Prefer AI that answers from your own project data over AI that answers from the internet.
- Check where your data is processed and whether it is used for training. ClearPMO does not train AI models on your project content, and stores data in an EU based database (Frankfurt).
- Look for fair-use limits and clear pricing, so AI costs cannot surprise you at the end of the month.
How the main tools approach AI today
Every major work management tool now sells some form of AI, but the packaging varies a lot: some include it in paid plans, some sell it as a per-user add-on, some use credits. The table shows how each vendor described it on its own pages.
| Tool | AI offering | How it is sold |
|---|---|---|
| ClearPMO | Plan drafting from text or documents, voice dictation, Robin AI agent, AI blocker suggestions, activity summaries | Included in Premium (per project) and Program Management (per program), with fair-use limits |
| Asana | AI Studio (no-code AI workflows) and AI Teammates | Included on paid plans with monthly credits and request caps; not on the free Personal plan |
| monday.com | AI notetaker, sidekick, AI blocks, agents and AI workflows | AI credits purchased alongside seats for sign-ups from 6 May 2026; not available on Free |
| ClickUp | ClickUp Brain | Paid add-on: Brain AI USD 9 per user per month; base plans get limited trial use |
| Trello | Atlassian Intelligence and Rovo features | Standard, Premium and Enterprise; not on Free |
| Jira | Rovo | Included on Standard, Premium and Enterprise with monthly credits per user; not on Free |
| Smartsheet | Smart Assist, AI columns, formula generation and more | Pro and up; vendor pages list some features as Enterprise only |
Where to start
Pick one project that is about to start. Draft it with AI from the documents you already have, spend thirty minutes correcting the draft with your team, and switch on daily reminders for the owners. After two weeks, compare how much time you spent chasing updates with the project before it.
ClearPMO's Base plan is free on every project, so you can set up the plan by hand first and upgrade only the project where you want AI to drive the work.
Frequently asked questions
Will AI replace project managers?
Not in any way that matters for delivery. AI removes typing, chasing and searching. Decisions, trade-offs, stakeholder conversations and accountability stay with the PM.
Does ClearPMO use my project data to train AI?
No. Content sent to AI features is used to produce that answer or draft for you and nothing else. See the privacy policy for detail.
Which ClearPMO plan includes AI?
AI drafting, dictation, reminders, digests, Robin and blocker suggestions are part of Premium on a project, or Program Management on a program. The Base plan is free and manual.
